Welcome to Rye Youth Zone (“the Club”). These Terms and Conditions outline the rules and guidelines for the use of our services, facilities, and participation in our activities. By registering for or attending any of our events or programs, you agree to be bound by these terms.

1. Eligibility

– Our youth club is open to young people aged 11 to 17 years.

– Membership is subject to approval by the Club’s management.

– Parents or guardians must complete a registration form for minors (under 18) before they can participate in activities.

2. Membership Registration

– Parents or guardians of all participants must complete and submit a registration form with accurate information.

– Parents or guardians of all members must provide emergency contact details and inform us of any medical conditions or allergies that could affect their participation in our activities.

– Membership is valid for 1 year, after which it must be renewed.

3. Code of Conduct

– We expect all members to behave respectfully, follow instructions from staff and volunteers, and treat other members with kindness and courtesy.

– Bullying, discrimination, or any other harmful behavior will not be tolerated.

– Members must respect the Club’s property and facilities. Any damage or misuse of property will result in disciplinary action, which may include suspension or termination of membership.

4. Activities and Events

– The Club offers a variety of activities, including sports, arts, educational programs, and social events.

– All activities are supervised by qualified staff or volunteers.

– Participants must follow all health and safety guidelines provided during each activity. Failure to do so may result in being excluded from an activity.

5. Health and Safety

– The Club is committed to providing a safe environment for all members. We follow all UK health and safety regulations.

– Participants should inform staff of any medical conditions or special requirements.

– In case of emergency, the Club will contact the parent or guardian using the details provided in the registration form.

6. Photography and Media Consent

– From time to time, the Club may take photographs or videos of members participating in activities for promotional purposes. We will only use images or videos of children and young people whose parents or guardians have given their consent in the registration form.

7. Data Protection

– The Club collects personal data as part of the registration process. We are committed to protecting your privacy and complying with the General Data Protection Regulation (GDPR).

– Your data will only be used for the purposes of Club administration or activities, and emergency situations.

8. Cancellation and Refund Policy

– If a participant is unable to attend an event or activity, please inform the Club as soon as possible.

– The Club reserves the right to cancel events or activities due to unforeseen circumstances (e.g., poor weather or insufficient attendance). In such cases, members will be notified and offered alternative arrangements or a refund where applicable.

– The Club takes all reasonable steps to ensure the safety of its members; however, members attend activities at their own risk.

– The Club will not be liable for any loss, damage, injury, or other unforeseen events unless caused by negligence or breach of statutory duty.
